Five admin tasks small businesses can automate first

Simple, low-risk automations that save small businesses time every week, from enquiry replies to quote follow-ups, and how to choose where to start.

Automation can sound like something only big companies do. In practice, the best place to start is usually small: one repetitive task that follows the same steps every time and eats an hour or two of your week.

Here are five common starting points, and how to tell which one to tackle first.

1. Replying to new enquiries

When someone fills in your website form, they’re often contacting other businesses at the same time. An instant reply that confirms you’ve received their message, sets expectations and asks any missing questions keeps you in the running while you’re busy on a job.

The same automation can copy the enquiry details into your job system or calendar, so nobody has to retype them.

2. Following up quotes

Many quotes go quiet simply because nobody had time to follow up. An automation can send a polite check-in a few days after a quote goes out, and stop as soon as the quote is accepted. You decide the wording and the timing.

3. Appointment and booking reminders

Reminders cut no-shows and the phone calls that come with them. A message the day before an appointment, with the address and a way to reschedule, is simple to set up and noticeable straight away.

4. Intake and referral forms

If information arrives by form and then gets typed into another system, that’s a good candidate. The form can create the record, attach any documents and let the right person know, all without anyone copying details by hand.

5. Weekly numbers

If you check the same figures every week, such as new enquiries, jobs booked or invoices outstanding, those can be gathered and sent to you on a schedule.

Where AI fits in

Not every automation needs AI. Many of the tasks above are straightforward rules: when this happens, do that. AI is useful where some judgement or writing is involved, like drafting a reply, summarising notes or sorting enquiries by type. In those cases, a person should check the result before it goes anywhere important.

How to choose

Pick the task that is:

  • Frequent: it happens every day or every week.
  • Predictable: it follows the same steps most of the time.
  • Annoying: someone on your team would happily never do it again.

Start with one, check it works with real examples, then move on to the next. Small wins add up quickly.

Before you start

Think about where the information goes. Customer details should only be shared with services that need them, and anything sensitive deserves extra care. A good automation partner will explain where your data goes before anything is built.
